Job Description
Nebius is seeking a highly organized, resourceful, and professional Executive Assistant to provide comprehensive administrative and operational support to senior management, particularly the Vice President of Global Partnerships.
The successful candidate will play an important role in coordinating executive schedules, managing communications, supporting sales operations, maintaining business documentation, and assisting with strategic projects.

Key Responsibilities
Executive and Administrative Support
- Provide daily administrative assistance to the Vice President of Global Partnerships.
- Manage executive calendars, schedule appointments, and coordinate internal and external meetings.
- Arrange business travel, prepare itineraries, and process expense reports.
- Organize and maintain important sales documents, presentations, business records, and reports.
- Ensure executive activities and administrative processes are handled efficiently.
Sales Operations and CRM Management
- Maintain and update customer relationship management platforms, including Salesforce and HubSpot.
- Perform CRM data entry, generate reports, and monitor sales pipeline activities.
- Assist with preparing business proposals, contracts, and other client-related documentation.
- Coordinate order processing and collaborate with finance and operations departments to maintain accuracy.
- Support sales teams with administrative tasks and operational requirements.
Team Coordination and Stakeholder Management
- Serve as a primary contact for employees, business partners, and external stakeholders seeking assistance from the Global Partnerships team.
- Coordinate departmental meetings, team-building activities, corporate events, and client engagements.
- Support employee onboarding by arranging system access, training schedules, and necessary documentation.
- Facilitate effective communication between leadership, internal teams, and external partners.
- Help maintain organized workflows and smooth collaboration across departments.
Reporting and Performance Monitoring
- Assist in preparing weekly and monthly sales performance reports.
- Develop and maintain dashboards for tracking business activities and operational performance.
- Monitor key performance indicators (KPIs) and departmental progress.
- Prepare presentations, summaries, and reports for executive leadership.
- Support data collection and reporting processes to assist management decision-making.
General Operational Support
- Coordinate internal communications using email, Slack, and other workplace collaboration platforms.
- Distribute team announcements, updates, and important operational information.
- Provide administrative assistance for special projects, business events, and strategic initiatives.
- Handle additional responsibilities assigned by senior management.
Qualifications and Requirements
Applicants should possess the following skills, experience, and professional qualities:
- Previous experience in administrative assistance, executive support, team coordination, or sales operations is preferred.
- Excellent organizational and time-management abilities.

- Previous employment in a startup or rapidly growing technology company.
- Familiarity with workplace collaboration and project management tools, including Confluence, Jira, and Slack.
- Experience using expense management and time-reporting applications.
Salary and Compensation
Nebius offers a competitive annual base salary ranging from $109,500 to $136,800 USD.
The final salary offered will depend on several factors, including the applicant’s professional experience, technical skills, qualifications, job level, and geographic location, in accordance with applicable employment laws.
