Executive Assistant of the President at TopDog Law
TopDog Law is a rapidly expanding national personal injury law firm that manages the entire client experience, from marketing and intake to litigation.
For three consecutive years, we have achieved year-over-year growth of 2–3x. We are now investing in the people, processes, and technology needed to sustain that momentum while maintaining exceptional service quality and a strong company culture.
We operate as a fully remote organization and prioritize accountability, transparent communication, and decisive action.
If you are excited about helping build a high-performing organization and making a meaningful impact, TopDog Law could be the right place for you.
The Opportunity
As Executive Assistant to the President, you will serve as a strategic partner and force multiplier for a leader guiding the company toward becoming one of the five largest personal injury law firms in the United States.
The environment is fast-paced, demanding, and constantly evolving. The President manages multiple priorities across email, Slack, legal operations, executive communications, financial approvals, leadership onboarding, and coordination with numerous internal and external stakeholders.
Your responsibility will be to streamline these demands, eliminate unnecessary distractions, and ensure the President can concentrate on the decisions and initiatives that require his direct attention.
Beyond managing schedules and communications, you will become a trusted adviser and right hand.
You will begin each morning by aligning with the President on priorities, identifying potential challenges, and ensuring the most important objectives remain on track.
This position requires sound judgment, professional maturity, and the confidence to offer candid feedback when a different approach is needed.
Key Responsibilities
- Lead the President’s daily check-ins by reviewing priorities, identifying risks, and ensuring urgent requests do not overshadow strategic objectives.
- Manage the President’s inbox and Slack communications, including reviewing, prioritizing, drafting, delegating, and routing messages while ensuring every important matter receives appropriate follow-up.
- Convert recorded meeting transcripts into clear, actionable tasks within 24 hours and monitor progress until each commitment is completed.
- Oversee calendar management from beginning to end, protecting time for high-impact work and coordinating schedules with executives, attorneys, and external partners.
- Collaborate with operations, finance, technology, and people teams to monitor outstanding tasks involving key hires, state expansions, and board-level follow-ups.
- Coordinate executive onboarding, travel arrangements, leadership off-sites, and preparations for board meetings.
- Provide honest, constructive feedback when necessary, demonstrating the judgment to challenge decisions appropriately and the discretion to know when to do so.
Qualifications and Experience
Required Qualifications
- Exceptional written communication skills, including the ability to draft correspondence and communications that reflect a senior executive’s voice and style.
- Outstanding organizational skills, with a strong commitment to ensuring that no important task, deadline, or follow-up is overlooked.
- Demonstrated project management experience and the ability to coordinate multiple initiatives simultaneously.
- Proven experience analyzing data, preparing reports, and translating information into useful insights.
- Strong stakeholder management and relationship-building abilities.
- High emotional intelligence, sound judgment, professional discretion, and the confidence to communicate difficult but necessary feedback to senior leadership.
- Experience developing professional presentations, reports, and slide decks.
- Ability to establish processes and create structure in ambiguous, rapidly changing environments.
- Strong technical proficiency, particularly with Microsoft Excel and PowerPoint.
- Experience using calendars, email platforms, Slack, and project management tools, with the ability to learn new systems quickly.
- Previous experience as a C-suite Executive Assistant at a high-growth organization with more than 400 employees.
- Familiarity with AI tools such as Claude, ChatGPT, or comparable platforms, with the ability to integrate them into everyday workflows.
- Exposure to the legal industry, financial services, or businesses operating across multiple states.
- Demonstrated attention to detail, analytical thinking, proactive problem-solving, and excellent organizational skills.
