Legion Health is seeking an experienced and compassionate Medical Virtual Assistant to support patients throughout the early stages of their care journey.
This is a fully remote, non-clinical role focused on patient intake, scheduling, communication, documentation, and care coordination.

About the Role
As a Medical Virtual Assistant, you will serve as one of the first points of contact for prospective and newly booked patients.
Your responsibility will be to make sure patients receive timely assistance, understand what is required before their appointments, and successfully complete the necessary steps to access care.
You will communicate with patients through phone calls and messaging while managing scheduling, intake documentation, insurance-related processes, and internal coordination.
This position goes beyond traditional administrative assistance. You will work directly with patients who may be anxious, confused, frustrated, or experiencing difficulties with appointments, documentation, or other requirements.
Strong communication, patience, accuracy, and empathy are therefore essential.
Candidates with backgrounds in pharmacy, nursing, medicine, behavioral health, medical administration, or other healthcare-related fields are strongly encouraged to apply.
Although healthcare knowledge is highly valued, this is strictly a non-clinical position. You will not diagnose patients, recommend treatments, provide medical advice, or make clinical decisions.
Key Responsibilities
You will respond promptly to new patient inquiries and bookings through phone, messaging, and internal communication systems.
You will welcome patients professionally and explain what they need to complete before their first appointment, including scheduling, paperwork, insurance information, intake forms, and other preparation requirements.
The role also involves assisting patients with appointment booking and rescheduling, following up on incomplete documentation, and helping resolve operational barriers that could delay care.
You may support patients preparing for ADHD-related care by explaining documentation requirements, release-of-information procedures, appointment expectations, and other logistical steps.
You will identify questions involving prescriptions, medication, refills, prior authorizations, patient safety, or clinical concerns and promptly escalate them to the appropriate licensed healthcare professional.
Accurate documentation is an important part of the position. All significant patient interactions must be recorded clearly so clinicians and other team members have the information required to provide appropriate follow-up.
You will also maintain follow-up queues, monitor unresolved patient needs, follow established scripts and procedures, protect patient privacy, and collaborate with clinical, billing, operations, and patient-experience teams.
As Legion Health continues to grow, you may also help identify recurring patient issues and suggest improvements to workflows, templates, scripts, and standard operating procedures.
Qualifications
Candidates should ideally have at least two years of experience in healthcare operations, patient support, pharmacy support, medical administration, telehealth, healthcare call centers, or a similar environment.
Excellent spoken and written English is essential because the position involves regular communication with U.S.-based patients.
You should be able to communicate professionally and empathetically, explain complicated requirements in simple language, maintain accurate documentation, and manage several patient conversations and follow-up tasks simultaneously.
Experience with healthcare or communication systems such as EHR platforms, CRMs, scheduling software, Slack, Dialpad, or Healthie is beneficial.
Formal healthcare education or professional experience is strongly preferred. Candidates with backgrounds as pharmacists, nurses, physicians, psychologists, medical technologists, or similar healthcare professionals outside the United States may be particularly suited to the position.
Pharmacy experience is especially valuable, including familiarity with prescriptions, refills, prior authorizations, medication-related questions, and controlled-substance workflows.
Knowledge of behavioral health, psychiatry, ADHD care, telehealth, insurance processes, referrals, scheduling, or clinical documentation is also an advantage.
What Success Looks Like
Successful candidates will make patients feel welcomed and supported while ensuring they understand exactly what they need to do before receiving care.
You should be able to manage a high volume of patient interactions without overlooking important information or follow-ups.
Clear documentation, reliable communication, attention to detail, and the ability to remain calm when dealing with worried or frustrated patients will be essential.
You must also understand the boundaries of the position and immediately escalate medical, medication, safety, or treatment-related questions to the appropriate licensed professional.
Non-Clinical Responsibilities
This position does not involve diagnosing medical conditions, assessing symptoms, providing medical or medication advice, interpreting laboratory results or clinical records for patients, or making treatment decisions.
Your responsibility is to assist with patient communication, scheduling, documentation, coordination, intake, and escalation while ensuring clinical matters are handled by the appropriate licensed healthcare professionals.
Compensation and Growth
Compensation ranges from $5 to $15 per hour, depending on experience.
The position is fully remote and provides the opportunity to gain experience in patient access, telehealth operations, behavioral-health workflows, healthcare technology, and AI-supported care delivery.
